Program
administrators can easily create Wellness Activities from the admin portal. A
Wellness Activity can be assigned to all users or it can be assigned to only users
who meet specific criteria established through a distribution list. Choose from
the various predefined activities or create a custom activity designed to fit your
wellness needs.
To create
and configure a new Wellness Activity, navigate to:
ADMIN PORTAL > PROGRAMS > ACTIVITIES
Click
on the +Start An Activity button in the upper left corner of the ACTIVITIES page. From here, you have 2 options to create a new
activity:
- Review and choose from one of the predefined activities; or
- Create a custom activity from scratch.
OPTION 1 – SELECT
A PREDEFINED ACTIVITY
The
various predefined Wellness Activities can be customized with minor changes to fit
your needs and program goals. There are many predefined challenges to choose from, and they
are broken down into the following categories:
- Online
Courses – These activities
allow you to easily assign the online cognitive behavior training courses.
- Preventive
Exams – These activities
allow you to easily assign various types of preventive exams.
- Assessments
– This activity
includes the Health Risk Assessment.
To
see information about a predefined activity, click on the Preview Activity
button.
To
choose one of the predefined activities, click the corresponding Select Activity
button. The Create Activity page
will display where you can complete the following fields:
- Activity Name – The templated activity name
will appear, but the activity name can be changed using this field.
- Due Date – Enter the deadline for the user to complete the activity.
- Live Date – Enter the date the activity will begin or “go live.”
- Activity Icon – The templated activity image
will appear, but you can use a different graphic by uploading it here.
- Activity Type – Choose between Required
or Optional. The activity will
show up on the WELLNESS ACTIVITIES page for the user and will be marked
as Required or Optional based on your entry here.
- Prize – Choose Yes if there will be a prize awarded for completing
the activity. When Yes a selected, a Prize Description field appears for
you to enter information about the prize.
If no prize will be awarded, select No.
- Points – Choose Yes if points will be awarded for completing the
activity. When Yes is selected, a
Number of Points field will display where you can enter the number of
points each person will receive who successfully completes the activity. If no
points will be awarded, select No.
- Validation Type – Choose between Honor
and Upload. Honor should
be chosen if the user is not required to upload a document as
verification/proof that the user completed the activity (honor-system approach).
Upload should be chosen if you
want the user to upload a document that verifies successful completion of the
activity, which will be reviewed by the administrator.
- Approval Type – Choose between Auto
and Approve. Auto should
be chosen if the users are allowed to mark an activity as complete (and earn
any corresponding points) without any approval from the administrator –
Automatic Approval. Approve
should be chosen if the administrator will be reviewing the submission,
including any uploaded verification documents, and approving it.
- Number of Submission Allowed – Enter the number of submissions
allowed prior to the due date to earn points.
- Why is this activity important? – The predefined
activity will include information that describes why this activity is important,
but it can be edited if you’d like.
- Action you need to take – The predefined activity will
include information that describes the action the user needs to take, but it
can be edited if you’d like.
- Click
the Next button to progress to Step 2.
- Distribution
Details – This page will
list all the existing distributions lists in the admin portal so you can assign
the activity to all users that fall within the desired distribution list. Click on the name of a distribution list to
see criteria details. Check the box next
to the preferred distribution list (or click the Create Distribution
button if you need to set up a new distribution list).
- Click
Create Activity.
Your
predefined activity has been created and will be displayed on the ACTIVITIES
page.
OPTION 2 – CREATE
A CUSTOM ACTIVITY FROM SCRATCH
From
the ACTIVITIES page, click the +Start an Activity button in the
upper left corner, which will take you to the PREDEFINED ACTIVITY page. From this page, click the Custom Activity button
that appears in the upper left corner. The
CREATE ACTIVITY page will display where you can complete the same fields
as listed above under Option 1 for Predefined Activities (numbered 1-15). Upon completing these fields, your custom activity
will be created and displayed on the ACTIVITIES page.
On
the ACTIVITIES page, each activity will be listed, including the
Activity Name, Program Year, Distribution Lists, Proof Required, Approval Type,
Due Date, Points, and Number of Submissions.
In addition, the following options are available for each Activity
record:
- Preview –
to view the details of the wellness activity
- Edit –
to edit the details of the wellness activity
- Delete –
to delete the wellness activity
- Assign participants –
to assign the activity to participants based on a distribution list
- Download –
to download an Excel file of users who completed the activity
